1. Go to your Google Apps Admin Dashboard.
2. Click on Spanning Backup under Marketplace Services towards the bottom of the page.

That will take you to this page:

3. Click add next to all of the users you want to back up. As you add users, they will appear in the Paid Seats box to the right.

4. Click the save user access settings button. If you successfully assign all of your paid seats, the number next to Purchased will match the number next to In use, and the number next to Currently selected will be 0. If you don’t want to use all of the seats you paid for right away, that’s fine. Just make sure that the number next to In use is the number of users you want backed up.

You’re done! Backups will automatically run every day for the users you just selected.

Once you log in to Spanning Backup, take these steps to restore a calendar back into your Google Apps account.
1) Click “Restore” in the left-hand navigation
2) Select “Calendars” in the main window

3) Select the version of the calendar you wish to restore (sorted by date)
Note: You will have at least one version of each of your calendars associated with each day that you’ve been a customer – that’s the automatic daily backup. You can see that for this user, there are two November 29th versions that can be restored. That means that this user did an on-demand backup in addition to the automatic backup that day.
In this example, I want to restore two calendars to the way they were on November 28th.
4) Click the “Restore Calendars…” button

Once you click that button, a “Restore Calendars” window will open containing a list of your calendars.
5) Click the check box next to each calendar you’d like to restore.
In this example, I want to restore “GloNanoCo Corporate” and “Travel Calendar”.
6) Click the “Restore” button

You’re done! The calendars you selected will be restored right back into your account, and they’ll look just like they did on the date you selected. This includes all events, recurrences, and exceptions; as well as metadata like color, time zone, location, privacy settings, and sharing settings.

Once you sign in to your Spanning Backup account, click the “Restore” tab on the left side of the screen, then select “Documents”.

If you’re looking for the most recent version of the document(s) you need, click the most recent date. If you need to restore a previous version of a document, click on the date when that version was saved. In this example, I am going to restore from Friday, October 28. First click the date, then click the “Restore Documents” button.

You will see the Restore Documents window pop up with all of your folders displayed. If you want to restore entire folders, just check the ones you want to restore. Their folder structures will be restored also. In this example, I am going to restore the entire Work folder, including all of its sub-folders.

Once the restore is finished, there will be a folder in Google Docs named “Restored from 28-Oct-2011”. When we open it, we see the exact same file structure from the original Work folder. The contents of the folders are identical to its contents on October 28.

Of course, if you only needed to restore one file, you would repeat the process with only one file selected in the Restore Documents window. In Google Docs, the only content of the “Restored from 28-Oct- 2011” folder would be “Margarita Recipe”.

Q: Does Spanning Backup back up Google Chat history?
A: Yes! You’ll need to configure your Gmail account to show chats in IMAP so they’re accessible to Spanning Backup. Here’s how:
- Sign into Gmail and click on the “gear” icon in the upper right to open Settings.
- Under “Labels”, enable “Show in IMAP”. You can also optionally “show” in the label list.
- Under “Chat”, select “Save chat history”.
- Save Changes.

If you already have Spanning Backup installed in your Google Apps domain, here’s how to enable Gmail backup for all of your paid Spanning Backup users:
- Authorize Spanning Backup to access Gmail for your domain
- Open your Google Apps dashboard at
https://google.com/a/your-domain-name
- Scroll down to the Google Apps Marketplace section and find “Spanning Backup”.
- If you see “Update data access requirements” under the product name (shown here), click on the “View and grant access requirements” link to the right of that text.

- If you don’t see this text, your domain has already provided authorization for the Gmail backup service; skip to step #2 below.
- Within the Spanning Backup settings section, go to the “Data access” section (shown here). Click the “Grant data access” link at the bottom of the “Data access” section.
- Upon successful authorization, you will see a green checkmark icon with the text, “Granted” beside the “Data Access” text (shown here).
- Enable Gmail backup for your domain
- Navigate to the “Manage Domain” page at
https://spanningbackup.com/managedomain?domain=your-domain-name
- If Gmail backup has not yet been enabled for your domain, you’ll be asked to enable Gmail backup for all users in the domain (shown here). Leave this checked and press “Continue” to enable the Gmail backup service.

- You should see a confirmation message indicating that Gmail backup is now enabled for all users in your domain.
